This Refund Policy outlines the terms and conditions for cancellations, rescheduling, and refunds related to non-medical lifestyle food education services provided by Vibrantherbnew. By booking a session or purchasing a program package, you agree to the terms described in this policy.

We are committed to fair and transparent refund practices. Please read this policy carefully before booking a session or purchasing educational products.

3. Scope of This Policy

This Refund Policy applies to:

  • Single consultation sessions (in-person and remote)
  • Multi-session program packages
  • Educational products and materials purchased separately
  • Any prepaid services booked through our website, email, or phone

This policy does not apply to third-party services or products that may be referenced during consultations but are not sold directly by Vibrantherbnew.

4. Single Session Cancellations

4.1 Client-Initiated Cancellation

  • More than 24 hours before session: Full refund or free rescheduling to a new date and time, at the client's choice.
  • Less than 24 hours before session: No refund. The session may be rescheduled once at our discretion, subject to a rescheduling fee of 50% of the session price.
  • No-show without notice: No refund. The full session fee is forfeited.

4.2 Company-Initiated Cancellation

If we need to cancel a session due to consultant unavailability, office closure, or other circumstances on our end, you will receive a full refund or the option to reschedule at no additional cost. We will provide as much advance notice as possible.

5. Program Package Refunds

Multi-session program packages are sold at a bundled rate. Refund terms for program packages are as follows:

  • Before first session: Full refund minus a 10% administrative fee, provided cancellation is requested at least 48 hours before the scheduled first session.
  • After first session, before second session: Partial refund equal to the remaining unused sessions, calculated at the single-session rate minus a 15% administrative fee.
  • After second session: No refund for remaining sessions. Unused sessions may be rescheduled within 90 days of the original program start date, subject to availability.

Program packages expire 6 months from the date of purchase if not fully utilized, unless otherwise agreed in writing.

6. Educational Products

Digital educational products such as meal planning templates, seasonal ingredient guides, and grocery checklists are generally non-refundable once delivered, as they cannot be returned in their original condition. Exceptions may be made in cases of:

  • Technical delivery failure preventing access to purchased materials
  • Duplicate purchase made in error (refund issued for the duplicate only)
  • Material misrepresentation where the product significantly differs from its description

Refund requests for educational products must be submitted within 7 days of purchase.

7. Rescheduling Policy

We understand that schedules change. Our rescheduling policy is designed to be flexible while respecting consultant availability:

  • Single sessions may be rescheduled once at no charge if requested more than 24 hours before the appointment.
  • Program sessions may be rescheduled up to two times per session without penalty, provided requests are made at least 24 hours in advance.
  • Rescheduling requests made less than 24 hours before a session are treated as late cancellations (see Section 4.1).
  • Rescheduled sessions must be completed within 60 days of the original appointment date.

8. How to Request a Refund or Cancellation

9. Refund Processing

Approved refunds are returned to the original payment method used at the time of purchase. Processing times vary by payment provider:

  • Credit/Debit Cards: 5–10 business days to appear on your statement
  • Bank Transfers: 3–7 business days
  • Other Payment Methods: Processing times as determined by the respective provider

We are not responsible for delays caused by payment processors or financial institutions after the refund has been initiated on our end.

10. Non-Refundable Circumstances

Refunds will not be issued in the following situations:

  • Sessions that have already been completed, regardless of client satisfaction
  • No-shows or cancellations made less than 24 hours before the scheduled session
  • Dissatisfaction with general educational content that was delivered as described
  • Client failure to attend a rescheduled session without further notice
  • Requests made after the applicable refund window has expired
  • Services purchased during promotional periods where refund terms were explicitly modified at the time of purchase

11. Disputes and Chargebacks

We encourage clients to contact us directly to resolve any billing concerns before initiating a chargeback with their payment provider. Chargebacks filed without first attempting to resolve the issue with us may result in suspension of future booking privileges.

12. Force Majeure

In the event of circumstances beyond our reasonable control — including natural disasters, public health emergencies, government restrictions, or infrastructure failures — we will work with affected clients to reschedule sessions or provide appropriate refunds or credits. Force majeure situations are evaluated on a case-by-case basis.

13. Consumer Rights

Nothing in this Refund Policy is intended to limit any rights you may have under applicable consumer protection laws in your jurisdiction. If mandatory local laws provide you with rights that cannot be waived by contract, those rights take precedence over conflicting provisions in this policy.
